We are looking for an experienced and proactive Personal Assistant to join our People team, based in our Solihull, Birmingham office. Working closely with our People Director and People Leadership Team, you will provide high-quality PA and coordination support, helping them to manage priorities, stay connected and progress activity across a busy and varied People agenda.

This is a trusted role where you will have visibility across the wider People team and the business. Alongside managing diaries, meetings and day-to-day priorities, you will coordinate People leadership activity and team events, prepare high-quality reports and presentations, and provide coordination support across a range of People projects and initiatives.

You will have the autonomy to anticipate what is needed, keep actions moving and build strong relationships across the People team and wider business, while handling sensitive and confidential information with discretion.

What you will do

  • PA and leadership support
    • Provide proactive PA and administrative support to the People Director and wider People Leadership Team, helping to manage priorities and keep key activity on track.
    • Manage complex diaries, meetings, travel and accommodation arrangements, anticipating potential conflicts and changing priorities.
    • Support the People Director with correspondence and incoming activity, identifying and prioritising items requiring attention.
    • Coordinate internal and external meetings, working closely with PAs and colleagues across the business.
    • Manage expenses and other day-to-day administration on behalf of the People Director.
  • Meetings, reporting and coordination
    • Coordinate People Leadership Team meetings, including agendas, papers, logistics, minutes, actions and follow-up.
    • Proactively track agreed actions and deadlines, helping to ensure commitments are progressed.
    • Produce and finalise high-quality reports, presentations and other documentation, collating information from across the team and ensuring a consistent and professional standard.
    • Support the preparation of executive-level People information and materials.
  • People team and projects
    • Coordinate wider People team meetings, events and socials, helping to create an engaging and well-connected team environment.
    • Provide coordination and administrative support across People projects and initiatives, helping to organise activity, information, meetings and agreed actions.
    • Support the administration of sensitive People information and documentation within our People systems where required.
    • Work flexibly across the People agenda, responding to changing priorities and providing support where it is most needed.
  • Relationships and confidentiality
    • Build effective relationships across the People team and wider business, acting as a trusted and approachable point of contact.
    • Maintain excellent communication with internal and external stakeholders.
    • Handle sensitive and confidential information with sound judgement, professionalism and discretion at all times.

What you will bring

  • Previous experience as a Personal Assistant, Executive Assistant or Senior Administrator supporting senior stakeholders.
  • Experience working within a People/HR team or another environment handling confidential and sensitive information would be useful but is not essential.
  • Excellent diary, meeting and travel management skills, with the ability to coordinate complex and changing priorities.
  • Strong Microsoft 365 skills, particularly Outlook, Word, Excel, Teams and PowerPoint.
  • Experience producing accurate, well-presented reports, presentations and executive-level documentation.
  • Strong organisation and attention to detail, with the ability to manage multiple priorities and deadlines.
  • Experience supporting or coordinating projects and initiatives would also be beneficial.

What will help you succeed

  • You are proactive and comfortable taking ownership, anticipating what is needed rather than waiting to be asked.
  • You are highly organised and able to bring structure to multiple, sometimes competing, priorities.
  • You build trusted relationships and communicate confidently with colleagues at all levels.
  • You are comfortable following up on actions and keeping others on track when deadlines are approaching.
  • You remain calm and adaptable when priorities change.
  • You have a high level of attention to detail and take pride in producing work to a consistently high standard.
  • You understand the importance of confidentiality and handle sensitive information with care and discretion.
  • You enjoy being part of a collaborative team and are happy to get involved in a broad range of activity.

What you can expect from us

You will join a collaborative People team with the opportunity to work closely with senior People leaders and gain broad exposure across our People agenda. It is a varied role where you can build strong relationships across the business, take ownership of your work and make a visible contribution to how the team operates. Alongside delivering high-quality PA support, you will have opportunities to get involved in People projects and initiatives, giving you broader experience beyond traditional PA responsibilities.
